Vendors sell differently to universities than to anyone else. Academic pricing structures, framework agreements, and loyalty discounts that quietly expire are all built to look generous while locking you into terms that cost you later.

Most procurement teams simply don't have visibility into what a vendor's actual margin looks like on a software contract. They don't know which contract terms are standard practice dressed up as a favour. They don't know when a renewal date can be turned into leverage rather than treated as a deadline you're stuck with. None of that is public information. It's the kind of thing you only learn from sitting on the vendor side of enough of these negotiations to see the pattern repeat.

Why doing this alone usually costs more


Handling this internally isn't free, even when it looks like it is. We know procurement and finance teams don't have the time to relitigate the same vendor contracts every renewal cycle on top of everything else on their plate.
